The Universicard is a management tool, designed to alleviate the monotonous and time-consuming administrative tasks of running a university. Universicard replaces numerous other system used on campus and can ensure a smooth running management system. In addition, it is a unique advantage of being impossible to tamper with or be copied.
I. General Principles
Information about the Universicard:
- The life span of a Smartcard is minimum of 3 years.
- The microchip can perform more than 10,000 operations.
- There are three types of information inscribed on the card.
1. Permanent information (inscribed on the front of the card):
- Designated university code
- Student number
- Last name
- First name
- Date and Place of birth
2. Other information (inscribed on the back of the card):
- Nationality
- Social security number
- Health insurance policy number
3. Photograph of card holder
The following information is programmed into the Universicard microchip:
- Permanent information (see above)This information cannot be modified once programmed.
- Other information This information can be modified once programmed.
- Microprocessing facility which calculates a card holder’s debit account
- Validity dates of the card The expiration date can be updated upon re-enrollment.
- Serial number of the card
- Lost card code This code is used to temporarily invalidate the card if it is lost.
In Addition:
The Universicard can be personalized for each university by adding school colors, logos, or mascots.
The Universicard is a debit card and has a programmable memory. It can be used for the following services:
1. Student access and frequency management:
Universicard can grant access to certain areas and to certain information on campus:
a) Direct access
- University library
- Parking lots
- Specialized rooms (science labs, Computer labs, etc.)
- Certain Materials (videos, audio equipment, etc.)
- University buildings
- Student housing
b) Indirect access
- Access to interactive terminals on campus
- The use of the card and the interactive terminals allows a dialogue between the professors and the students on subjects such as:
- 1. Information on the dates and location of exams
- 2. Results of exams and course work
- 3. Information concerning the lectures.
2 The use of plastic money:
The Universicard can manage different services using electronic plastic money.
- a) Payment for all university services on campus
- University-owned photocopiers, laser printers, fax machines, etc.
- Books and materials
- University restaurants, cafeteria, snack bar
- Campus shops
The Universicard can also assure the automatic payment for services offered by non-university vendors on campus.
- b) Payment for all private franchise services on campus:
- Drink and food dispensers
- Video games
- Restaurants and bars
II. The Universicard: access and frequency management
1. Access management
The main types of access are :
- a) Parking access (with the use of an entrance control barrier) Access can be granted to certain authorized persons at certain times. For example; free entry 6 am to 9 am; access with a card 9 a.m to 9 p.m.; access forbidden (9 p.m. to 6 a.m.
- b) Access to specialized areas (science laboratory, computer lab, etc.) Access can be granted to certain authorized personnel.
- c) Access to certain materials: Access control depends on the type of material being used. We can for example, limit the use of video equipment by controlling the electricity supply to the equipment.
- d) Access to certain buildings: Similar to parking access, but in this case, doors open automatically at designated times or, open by using the card in a card lock.
- e) Access to student housing: The access management system to student housing is, in effect, the replacement of a classic lock with a card lock: the reader only authorizes access to authorized persons.
- f) Access to information using interactive terminals Using their Universicard in interactive terminals students can access personal information regarding their courses and class results.
- g) Access control and frequency management for the university library:
The frequency management module is a software package that records the number of persons entering the library through an interactive turnstile terminal. Data can be collected concerning library attendance.
The following data can be collected using the frequency management module:
- a. The persons using the library.
- b. Peak periods of usage.
- c. The percentage of persons entering the library but not taking out books.
- d. Amount of time each person spends in the library.
- e. The type of books being borrowed.
III. Management of Universicard accounts using G.D.E.I. software
G.D.E.I proposes a management software package for the Universicard:
It is a system of consolidating accounts and managing money debited for the purchase of various items on campus.
It serves as a money communication network that is responsible for collecting the transaction information from all debiting terminals on campus at the end of each day.

2. Crediting the Universicard
There are three ways of crediting a Universicard:
- Automatic terminals: The student introduces their card into the crediting machine. The validity date is checked and, if valid, the machine proposes different ways of crediting the card (i.e. by visa or by cash).
- At the cash registers: Students goes to a designated office on campus to credit money in the their Universicard account
- By Mail by: Sending a check or money order to a designated payment office.
