Multi-Factor Authentication (MFA) Help

Nearly 80% of SaaS breaches involve stolen or weak passwords. At HData, the security of your data is our top priority. That’s why we’ve implemented Multi-Factor Authentication (MFA) which blocks more than 99% of those attacks. 

By requiring an extra layer of authentication, MFA significantly reduces the risk of someone gaining access to your account, even if your password is compromised.

We support two primary MFA methods, so you can authenticate with either a mobile device or your work computer:

  • Security Key or Biometric Authenticator 
    • Physical Security Key (e.g., USB or Bluetooth).
    • Biometric Authenticator: Uses a biometric factor (e.g., fingerprint via Touch ID or facial recognition via Windows Hello).
    • Alternative Methods: Some platforms (e.g., Windows Hello) also support non-biometric options like a PIN, and password managers like 1Password can act as a passkey provider.
  • Authenticator App
    • Compatible with apps like Google Authenticator or Microsoft Authenticator.
    • Alternative options may also include password managers that support time-based one-time passcodes (TOTP) for MFA.

MFA verification is required once a week for every separate device from which you access HData.

How to Set Up Your MFA Method

From the HData login page, enter your username and password. Then, you’ll be prompted to select which MFA method you’d like to set up.

 

 

Security Key or Biometric Authenticator 

Depending on whether you are a Windows or Mac user, your security key or biometric authenticator enrollment process may differ. Please see this help documentation provided below.

Mac: 

Windows:

Here’s an example of the setup process using Windows Hello: 

1.     Click the “Setup” button beneath the “Security Key or Biometric Authenticator” option.

 

 

2.     "Click “Enroll.”

 

 

3.     In the popup, enter your PIN to save the passkey on your device.

 

 

4.     You'll receive a confirmation message–click "OK".

 

 

5.     Click "Finish".

 

 

You're all set!

Authenticator App

We also support using an authenticator app as your MFA method. While the page specifies Google Authenticator, many authenticator apps are acceptable. Other acceptable apps include: 

  • Authy
  • Microsoft Authenticator
  • FreeOTP Authenticator
  • TOTP Authenticator – Fast 2FA

Here’s an example of the setup process using Google Authenticator:

1.     Click the "Setup" button below the "Google Authenticator" option.

 

 

2.     Select your device type and click next.

Note: You will be promoted to download the Google Authenticator app if you don't already have it installed on your device. 

 

 

3.     Open the Authenticator app on your device. Click the “+” button in the bottom right hand corner to select the option “Scan a QR code.”

 

 

4.     Use your device to scan the QR code that appears on the HData page. Note that you must scan the QR code with your chosen authenticator app and not your mobile device's native camera app.

 

 

5.     A code will appear on your device screen. Codes last for 30 seconds before resetting. Enter the code in HData and click “Verify.”

 

 

 

6.     Click "Finish".
